ServiceTitan Onboarding & Implementation
Whether you're brand new to ServiceTitan or picking up an implementation that stalled halfway through, Crown Line runs a structured six-week process to get you running as smoothly as possible. It starts with an in-depth discovery process that lets us prune away what you don't need, then configuration built around how your business actually operates. One primary point of contact, your ServiceTitan onboarding coach, leads your project, backed by a team of specialists, through go-live and the weeks that follow.
Connect with a CoachEverything We Handle During Onboarding
Our ServiceTitan onboarding process goes through nearly every part of your account. We're committed to building one connected process that works for your team. Here's what you get with Crown Line Consulting:
- We build the core account, including company settings and the structural decisions everything else depends on.
- We map your workflows and design the process before touching the system, so it's built around how your business actually runs.
- We set up business units, job types, and permissions - the foundation that dispatching, accounting, and payroll all depend on.
- We configure dispatching and call booking so there's clear ownership from the first phone call through the technician showing up.
- We build out the pricebook and memberships so the field team can find what they need and the office can keep it maintained.
- We set up reporting and KPI dashboards that reflect what's actually happening on the ground.
- We integrate accounting and financial workflows so ServiceTitan and your accounting system tell the same story.
- We set up inventory and purchasing, including warehouse and truck structure built for real counts.
- We train your team role by role and support adoption through go-live.
Signs Your Setup Needs Attention
A few signs worth watching for:
- Your team avoids using ServiceTitan and keeps working around it instead
- Reporting doesn't match what's actually happening in the field
- Office staff are building manual workarounds or spreadsheets to cover gaps
- Dispatching feels chaotic
- Technicians aren't following the workflows you built for them
- Inventory, memberships, and projects feel disconnected from each other
- Leadership has stopped trusting the dashboards
If any of these sound familiar, that's a rollout that needs fixing, not a business that needs a lecture. It's exactly what Crown Line's onboarding process is built to resolve.
Our Six-Week Process
Crown Line runs every implementation through a shared project tracker, so you always know what's done, what's in progress, who owns it, and what's coming next. The five phases below form the backbone of every implementation, applied to fit your specific operation.
1. Pre-Implementation and Discovery
Before any configuration starts, we run a kickoff meeting and work through a mapping workbook to understand your current workflows. From there, we identify your ServiceTitan champion and lock in a go-live date. This is also where we flag the gap between how your operation runs today and how it needs to run in ServiceTitan.
2. Core Configuration
This is the bulk of the six weeks. We build out employee and technician roles and permissions, business units and job types, pricebook and vendor setup, dispatch and booking workflows, memberships and service agreements, accounting and payroll mapping, and purchasing and inventory structure. These workstreams get built together, because a decision in one area, like job types, affects reporting, dispatch, and payroll downstream.
3. Training
Training starts while configuration is still underway. A CSR doesn't need the same training as a technician or a warehouse employee, so each role gets its own path: call booking, the dispatch board, invoicing, purchase orders, payroll, or reporting, depending on what that person actually touches. We train the workflow, so each person knows why a step exists and who it goes to next.
4. Go-Live Readiness
Before we flip the switch, we run a final readiness check. That means confirming the go-live date and reviewing what's still outstanding. Then we confirm every team is ready to work in the new system on day one.
5. Go-Live and Hypercare
Support doesn't stop at launch. Once you're live, we move into Hypercare. We work through the remaining punch list and watch for broken workflows or training gaps as your team uses the system for real. Small mistakes get caught and fixed before they turn into permanent habits. This is where a system that looked fine on paper gets proven against your actual business.
What Makes Crown Line's Onboarding Different
- A proven framework, fitted to you. We have a proven implementation structure, but your operation determines how it's applied. Discovery comes before configuration, every time.
- Built by people who've actually run the board. Our team has worked dispatch, service calls, and trade software directly, so onboarding decisions like permissions, dispatch workflows, and job types get made with real operational judgment.
- Defined handoffs. A workflow isn't finished when one person completes their task. We build clear handoffs so the next person knows it's theirs, what they need to do, and what "done" looks like.
- Reporting built in from day one. If leadership needs to report on something after go-live, the underlying configuration has to capture it from the start.
- Onsite support when you need it. Beyond remote configuration, Crown Line offers in-person workflow audits and dispatch coaching. We can also run training workshops on-site for teams that need someone in the room.
- Support for Spanish-speaking staff. Training and adoption shouldn't stall out because of a language gap.
- Milestone-based billing. Implementation is structured around defined deliverables and a real go-live date, not billed as an indefinite monthly retainer.
Get Results with ServiceTitan On-boarding from Crown Line
Done right, onboarding changes what your team actually gets out of ServiceTitan. Adoption comes faster because the system was built around how people actually work, and leadership gets reporting and KPIs they can rely on, without spreadsheets covering for gaps. Profitability gets clearer across jobs and business units, decisions get made with more confidence, and the platform grows with the business without a rebuild later. Hypercare catches problems while they're still small, and your team walks away understanding the workflow behind every click. Whether you're starting from scratch or finishing what stalled, that's what a six-week process built around your business is meant to deliver. Here are the questions we hear most before that first conversation.
Frequently Asked Questions
Do you work with businesses that already have ServiceTitan, even if the first setup fell short?
Yes. We specialize in fixing, optimizing, and scaling existing systems as much as building new ones. We don't force a rebuild unless the current setup genuinely can't support where the business is headed. Discovery tells us whether we're fixing specific gaps or starting closer to scratch.
Do you work with commercial and new-construction businesses?
Yes, we work with all kinds of businesses and contractors, including residential, commercial, and new construction, from independent shops to $1M+ companies and PE-backed multi-location portfolios. Crown Line is a ServiceTitan Certified Commercial partner, so commercial and new-construction workflows get built into your onboarding from the start.
Will onboarding disrupt our day-to-day operations while it's underway?
We build training and go-live around your team's existing workload, so you never have to pull everyone offline at once. Role-specific training happens in stages leading up to go-live. Hypercare support after launch exists specifically to catch and fix issues fast, so a rough first week doesn't turn into a rough first month.
Do you support Spanish-speaking staff?
Yes. Our team works directly with Spanish-speaking staff during training and adoption, so language isn't a barrier to your team actually using the system correctly.
How does onboarding connect with accounting, payroll, and pricebook setup?
They're built together as one connected setup. Accounting integration includes chart of accounts mapping and payment type setup so ServiceTitan and your accounting system tell the same story. Payroll configuration is tied to the technician and job type structure we build earlier in the process. Pricebook setup happens alongside dispatch, and job type configuration so the field can find what they need and the office can keep it maintained.
What happens after we go live? Does support just stop?
No. Go-live moves the project into Hypercare, a structured post-launch period where we work through the remaining punch list. We actively look for broken workflows, training gaps, or reporting issues that only show up once the system is handling real jobs. The goal is to catch a small mistake early, before it hardens into a habit.
How much does onboarding cost?
It depends on the scope of your current setup and how much needs to be built, fixed, or migrated. A flat number wouldn't fit most businesses, so we'll walk through your specific setup on a call and give you a clear scope. The more useful question is usually what a stalled or half-built implementation is already costing you in manual workarounds, missed reporting, and staff time. That's often more than the implementation itself would run.
