Pricebook Setup & Management

Pricebook Services

Give Your Pricebook the Structure It Was Missing

Your ServiceTitan pricebook should make pricing fast and consistent. Instead, techs guess at codes, reports don't match the field, and jobs take too long to price.

Crown Line Consulting audits how you actually use ServiceTitan, then rebuilds your pricebook around that. We work with contractors of every size, from independent operators to PE-backed portfolios, across residential, commercial, and new construction. Before you go live, ask yourself:

  • Can your techs find the right item without guessing?
  • Can you price the job right the first time?
  • Can accounting trace it back to the books?
  • Can it hold up as you grow?

If any answer to those questions was no, that's the gap Crown Line closes: starting with a pricebook built on real usage data, so you get cleaner numbers and margins you can trust. Every engagement starts with the same audit, whether you need a light cleanup or a full rebuild, and we price it in milestones you can see coming. Connect with a Coach and find out where your pricebook stands.

"The pricebook is the heart of ServiceTitan. If yours isn't dialed in, you're leaving money on the table every day."
-Jeremy Wickenhauser, ServiceTitan coach, on the *Mastering ServiceTitan* podcast

Setup

Crown Line Setup Process

  1. Discovery - We sit down with your team, not just ownership, to hear where the pricebook slows people down day to day: which codes get skipped, which prices get overridden, and which reports nobody trusts.
  2. Full Audit - We check your Services, Materials, Equipment, and Category lists item by item, flagging duplicates, discontinued items, and pricing that no longer matches what the job actually costs you.
  3. Labor Hour and KPI Review - We compare the labor hours built into your pricing against what your techs actually log in the field, since that mismatch lives in job history, not the price lists themselves.
  4. Pricing Configuration Review - We check whether flat rate, time and material, or configurable pricing actually fits how you bill, since the wrong model quietly costs margin on every job.
  5. Usage Analysis - We pull usage data to see what's actually selected on jobs versus what's just sitting there: discontinued equipment, duplicate entries from old imports, services you no longer offer.
  6. Scope Determination - With the audit and usage data in hand, we decide together whether you need a full rebuild or a targeted cleanup, and what that means for cost and timeline.
  7. Build and Standardization - We rebuild the structure top to bottom: naming conventions, pricing logic, and item relationships all standardized so the pricebook behaves the same way across every category.
  8. Category Design - We organize categories the way your team actually thinks about the work, not the way a default template assumes it, so techs find what they need without hunting.
  9. Field Usability - We clean up images, descriptions, and layout so a tech in the field can price a job correctly on the first try, not the third.
  10. Training - We walk your team through the new pricebook before go-live, dispatch and techs included, so nobody's guessing on day one.
  11. Ongoing Governance (optional) - A coach checks in on a set cadence to catch new hires, new service lines, and vendor price changes before they drag the pricebook back into a mess.
How you use it

We Start With How You're Actually Using It

Before we change anything, we find out what's really happening in your pricebook as it exists today, not what a fresh template assumes it should look like. Most pricebooks pick up dead weight over time: duplicate line items, retired equipment, pricing that no longer fits your business. Usage data tells us what to keep, fix, or cut before we touch the structure, so the rebuild starts from how your team actually works, not from a blank slate.

Audit

A Full Audit, Not Just a Cleanup

Once we know how your pricebook gets used, we audit your Services, Materials, Equipment, and Category lists in full, including GL mapping. That means every price you charge routes back to your books correctly, instead of creating reconciliation headaches for your accounting team. We pair that with a Labor Hour and KPI review, comparing the time built into your pricing against what your techs actually log in the field. If the two don't match, you're either underbilling the job or setting your team up to miss the numbers you're measuring them against. Crown Line catches both, and hands you a pricebook that reflects what work actually costs to deliver, not what it cost three years ago.

Built for

Built for the Field and the Office

A pricebook only works if your team can find what they need fast, and it prices jobs the way you actually bill. Because our coaches have worked dispatch boards and service calls themselves, we design categories the way your dispatchers and techs actually think about the work, not the way a generic template assumes it. We rebuild the structure, review your pricing model (flat rate, time and material, or configurable), and clean up images and layout so techs aren't hunting through duplicate line items mid-job.

Contractors

Why Contractors Work With Crown Line

  • Operators first: We build every solution around how your operators and dispatchers actually work, not around a one-size-fits-all software template.
  • We ask why first: We audit before we touch anything. No template gets dropped on your business until we understand exactly how your team works today.
  • Milestone-based billing: You pay for the work you get and the results you see, not a fixed monthly retainer.
  • A multi-coach model: One main point of contact backed by the full weight of Crown Line's specialists, brought in whenever your project needs them.
  • Every home service trade: We work across the trades, not just one vertical: residential, commercial, and new construction all included.
  • Protection after go-live: Optional Pricebook Governance keeps a coach checking in on a set cadence, catching drift before it becomes a mess.
FAQ

Frequently Asked Questions

What does this cost?

We don't publish flat pricing. Every pricebook's condition is different, and a cleanup isn't the same job as a full rebuild. Crown Line prices in milestones tied to what's delivered, and you'll know the scope before we start.

Do you rebuild our pricebook from scratch, or work with what we already have?

Yes, we meet you where you are with your ServiceTitan setup, whether that's starting from scratch or with an existing program, as our team creates solutions designed specifically for your team. If your pricebook mostly needs cleanup, that's the scope you get; if enough of it is duplicated, outdated, or broken, we rebuild it fully.

Is there support after the pricebook is built?

Yes, if you want it. Our optional Governance service has a coach check your pricebook on a set cadence, catching new hires, new service lines, or vendor price changes before they quietly undo the rebuild.

How is this different from ServiceTitan's own support team?

ServiceTitan support fixes bugs and answers software questions. Crown Line works with you to figure out how your specific business should be priced and structured. That's a business call only you can make, not a software one.

How long does the whole process take?

It depends on how much needs to change. A full audit plus a Labor Hour and KPI review is real work, and most engagements run several weeks. Your coach will give you a real timeline once the audit shows the scope.
